How to Build AI Agents for Your Business: Step-by-Step Guide (2026)
An AI agent is a system that does tasks for you: it answers customers, books appointments, follows up and organizes information, even when you're not there. It's the most direct way to stop working by the hour and build systems that work for you.
It's no longer just for big companies. According to Spain's National Statistics Institute (INE, October 2025), 21.1% of Spanish companies with 10 or more employees already use AI, 8.7 points more than a year earlier, and 13.4% of those with fewer than 10 employees do. In Europe, the most common use is marketing and sales: 34.7% of companies that use AI cite it (Eurostat, December 2025).
What an agent can do for your business
- Answer the usual questions on WhatsApp or on your website.
- Book appointments and send reminders.
- Spot which contacts are genuinely interested and pass them to you.
- Prepare quotes with your prices.
- Follow up with people who didn't reply.
- Organize invoices, orders or customer data.
- Prepare content drafts for your social media.
According to Meta (June 2026), its agent for WhatsApp Business already answers questions, recommends catalog products, books appointments and closes sales, and hands the conversation to a person when needed.
How much time and money it saves
- According to Intuit QuickBooks' report (May 2026), a survey of more than 34,000 business owners:
- 78% say AI made them more productive;
- 27% say their workday got shorter;
- 43% credit it with higher revenue.
- According to the U.S. Chamber of Commerce (October 2026), 66% of small businesses already use AI, up from 58% the year before.
These are surveys of the businesses themselves: real savings depend on the task. That's why it's worth measuring from day one.
How to build your agent, step by step
- Pick a single task. The one that repeats most and takes up most of your hours. Starting with one is what makes it work.
- Write down how you do it. Steps, examples, exceptions and your brand's tone. The agent works with your judgment, not its own.
- Choose the type of tool:
- Visual automations: platforms that connect your apps and can include an AI step, for tasks that repeat and run on their own.
- AI assistants connected to your tools: they work with your email, documents and calendar, and also let you build custom systems.
- The WhatsApp Business agent: answers, recommends and books inside WhatsApp. You can start for free.
- Open-source personal assistants: useful for your own tasks, not for serving customers.
- Connect it only to what it needs: your catalog, your prices, your calendar. Nothing else.
- Test it before opening it to customers, with real cases and a person reviewing.
- Measure: hours saved, replies, appointments and sales.
What the law requires
- EU AI Act (Article 50): since 2 August 2026, if a customer talks to a chatbot, they must be told it's an AI, unless it's obvious.
- Spain, Law 10/2025: large companies and essential services can't serve customers with bots alone. They must offer personal attention, and the deadline to comply ends in December 2026.
- Personal data: GDPR applies. Connect only the data the agent needs.
Frequently asked questions
Do I need to know how to code?
Not to get started: visual automations require no code and the WhatsApp agent is set up from the app. For a system connected to several tools, it's worth having a specialist build it.
Visual automation or AI assistant?
Visual automations are ideal for fixed workflows that run on their own. AI assistants, for tasks that need judgment and for building custom systems. Many businesses combine both.
How much does it cost?
The tools, from around €20 a month. A custom-built agent depends on the tasks and the integrations. We explain it in How much does a WhatsApp AI agent cost in 2026?
Will it replace my team?
No. It takes the repetitive work off their plate so they can focus on what sells. If your team doesn't use it yet, read Why doesn't my team use AI when I do?
